EXECUTIVE ADMINISTRATIVE ASSISTANT
St. Petersburg, FL
Bon Secours St. Petersburg (BSSP) is a diverse long-term care organization providing a continuum of care to elderly individuals. BSSP is comprised of three facilities: Maria Manor Nursing & Rehabilitation Care Center, a 274-bed licensed nursing care center offering skilled and long-term nursing with a dedicated Alzheimer's unit, Bon Secours Place, a 102-unit Assisted Living Facility (ALF), and Bon Secours St. Petersburg Home Health Services, Inc., which provides nursing and rehabilitation services throughout the community. BSSP also provides select community programs for at-risk elderly.

Supported by a minimum of 5 (five) years progressive experience in an executive secretarial position and the ability to type a minimum of 60 words per minute and to take and transcribe shorthand notes, the Executive Assistant will be responsible for performing assigned administrative duties in accordance with established procedures and as directed by the Executive Vice President. The Executive Assistant will also assist in all organizational and secretarial tasks, act as a liaison between the executive office and family members, residents, department heads, Board members, and corporate office, and perform receptionist duties as required.

Specifically, the Executive Assistant will:
  • Manage the daily operations of the office with emphasis on the accurate, neat and timely completion of all clerical duties.
  • Keep appointment book up to date and assist Administrator in maintaining appointment book, monthly calendar and daily planner.
  • Answer and screen all incoming telephone calls and return all messages as directed.
  • Arrange and coordinate all Administrative travel arrangements as directed.
  • Prepare all internal and external correspondence as directed by the Administrator.
  • Distribute and return for processing all administrative time slips.
  • Order and maintain all office supplies for administrative offices.
  • Take, transcribe and distribute minutes and agendas to internal/Administrative meetings as required.
  • Maintain complete confidentiality.
  • Coordinate the updating of the Facility Survey report and maintain all reports/documents for annual Florida State Department of Health Survey and other surveys as directed.
  • Maintain strict confidentiality.
  • Perform other related duties as required.

  • Skills / Requirements
  • High school diploma/GED required; Associate's degree preferred
  • Experience with PC software, including word processing, spreadsheets, relational data bases and any software developed specifically as a part of the administrative office functions
  • Excellent time management, organizational, English verbal/written communication, decision-making, interpersonal and presentation skills.
  • The ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public.
  • Demonstrated good moral character.
  • The ability to work harmoniously with other personnel.
  • The ability to seek out new methods and principles and be willing to incorporate them into existing practices.
  • The ability to follow written/verbal instructions
