Jobing Description
The Event Planner is responsible for coordinating with the Marketing department and Executive Leadership team to conceive, organize and execute all Company events.

  • Coordinate with event lead(s), which may include Marketing staff and/or the Executive Leadership Team, to conceive concept and create mission, plan scope and format, to establish budgets, review procedures and monitor event progress of Company events. Events may include, but are not limited to: conferences, conventions, trade shows, meetings, seminars and continuing education and company parties.
  • Assist in the development of event programs and agendas and choosing featured speakers.
  • Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, printing of event materials and any special needs requirements.
  • Negotiate contracts with service providers and suppliers, such as hotels, convention centers, speakers, caterers, etc.
  • Obtain any necessary permits to erect displays, exhibits and serve food and alcohol at events.
  • Design and implement efforts to publicize events and increase attendance.
  • Organize and track registration of event participants; serve as point of contact for attendee questions.
  • Arrange the availability of audio-visual equipment, transportation, displays and other event needs.
  • Train and oversee support staff required to assist in event execution.
  • Inspect facilities and ensure all event needs are addressed and resolved prior to event commencement.
  • Be present for the duration of event to resolve any issues that may arise.
  • Remain onsite following the event to supervise and assist in the cleanup.
  • Conduct post-event evaluations to determine client feedback and improvement of future events
  • Review event invoices for accuracy and submit to Vice President for approval and submittal to accounting for payment.
  • Responsible for any other duties as assigned by the VP, Marketing and Business Development.

  • Skills / Requirements
  • High school degree required. Bachelor's degree in Marketing, Communications, Public Relations or related field preferred. Minimum of two (2) years related experience required.
  • Must be well organized and skilled in coordinating event logistics.
  • Must be a strong multi-tasker who is able to deal with unexpected problems calmly and effectively.
  • Possess strong written and verbal communication skills with the ability to communicate needs and direction clearly, effectively and persuasively.
  • Ability to work independently, use initiative, to be organized and to meet deadlines.
  • Ability to interact and work well with others, understanding the importance of a team approach to opportunity development.
  • Computer experience in a Windows environment, Microsoft Office (Excel, WORD), ability to learn and use other software programs. Proficiency in a MAC platform with graphic design experience, preferred.
  • Possess a Florida Driver's License and ability to use personal vehicle for Company business.
  • Adhere to the Company Drug Free Workplace Policy and successfully complete pre-employment and random drug screenings.
  • Successfully complete background-screening process, including criminal, social security verification, credit history, workers' compensation, and MVR screenings.
