Jobing Description
Responsibilities:
  • Answers incoming signals on the switchboard. Responds to incoming signals with an average answer time of three rings or less. Maintain an abandon call rate of less than 1.5%. Advises all callers of the status of their call every 30 seconds. Answers all calls in a professional and courteous manner, using tact to avoid being detained by unnecessary conversation. Processes an increased number of calls during periods of heavy workload. Offers appropriate DID numbers to callers. Keeps an accurate count of all incoming calls.
  • Responds to all emergencies (codes, fire, bomb threat, severe weather and security) according to Clinic and department policies. Responds immediately to all emergency situations. Remains calm and follows established procedures. Records all pertinent information in the log book. Contacts Clinic staff assigned to beepers as requested. Beeps accurately and in a timely fashion. Maintains an updated beeper list at console.
  • Responds to all overhead-paging requests for the Clinic. Pages in a timely fashion with good articulation.
  • Maintains the physician/office documentation. Prepares the IN/OUT daily schedule on a rotating basis. Posts accurate information on IN/OUT sheets daily. Informs co-workers of physician office activities. Prepares and distributes physician call schedule on Thursdays on a rotating basis.
  • Communicates with the Physicians' Answering Service. Notifies PAS of any change in the physician call schedule daily. Notifies PAS of doctor status when office checks out. Sends copies of all call schedules and other pertinent information to PAS.
  • Maintains accurate console information. Keeps all reference sheets current and in good repair

  • Skills / Requirements
    Education: High school education or equivalent.

    Experience: Pleasant telephone voice. Previous experience as switchboard operator. Must be articulate, courteous, and able to get along well with others. Possess good public relations skills, including effective handling of hostile behavior. Must be flexible and able to handle multiple assignments concurrently. Must have exceptional hearing/listening skills. Must be able to sit for long periods in a confined area.

    Other Requirements: Previous experience in a medical facility.
